In business practices we do implement various price list for different category of buyers, for instance we might be supplying the same product in bulk to some of our wholesale dealers, where the prices are attractive for him, some time we might have a walk in customer for whom our prices will be similar to the MRP or he market rate for that product. These kind of situations are tricky and we need to have the price control, we cannot explain this to our front office operators, assume that you have 100s of time each item has a different scheme..what will you do, we cannot expect the front office sales person to remember all these.

Tally understands Indian business mentality and process , Tally is a software made by business for a business man, the first Tally will think of before implementing anything is , the comfort level of the common business man on adapting the feature. Now lets dig into how we can implement price level in Tally ERP.

Step 1:

We need to activate the Price Level option in Tally . To do this you have to select the Company Features this option can also be access by pressing F11 key in the Gateway of Tally. Once you do this operation, you will be able to see a screen as shown below.

 

Once this option is selected you will be able to see the Inventory Configuration screen as shown below, you need to choose the Use Multiple Price Levels? option 

 

Note : I have shown only the need to know portion of the screen, the Actual Inventory Features screen is much bigger than this with lot of other options.

Once you activate this option as Yes, you will get a new screen where you can enter the name of the price levels like Bulk Customer, Walk-in customer etc., these names are of your choice and what make sense to your operator to identify the pricing.

If you want to create more Price Level Names, you can come back to this screen at a later stage as well. To get the Price Level menu activated, you need to have atleast one Price Level name entered.

After entering the price levels now we need to set the pricing information for Price List based on the Stock Item Group. To acheive this you need to go to the Inventory Info screen, in this screen you will be able to see the Price List menu as shown below.

Once the Price List option is selected it will show you the list of the Stock Item Groups that you have created in the system, as shown below, you can choose the Group of your choice for which you want to set the Price List.

 

In my test case, I am going to select LAPTOP HARD DISK, in your case you can choose the Item Group of your choice or All Items options as well. Once I select the Stock Item Group, I will get the option to create the Price List for particular Price level. Now if you want to create a New Price Level Name, you can use the ALT + C option to create the name of the Price List, it will give you a screen as shown below.

You can create as many Price Levels as you want, it doesnt affect the performance or any other areas of the system. Once you have the required price list selected, now you can set the values for the individual item(s). The best part of the Price List is you can select the date from which the Price List will be applicable and you can also mentione from some other date onwards the prices will be different.

For Instance : you want to sell LAPTOP 160 GB SAMSUNG if someone is buying one quantity then rate should be 5000/- but if the user buys 2 nos then the price will be 4900/- each and if the user is buying more than 2 and less than 4 then the price will be 4500/-. See the following screen shot which will give you an idea how this process is set in the Price List

Now that you have configured this price list as of 1-4-2007 so till the time you configure the next price list for the Walk-In customer the rates are assumed as per the current configuration. If you want to set a different price list for the Walk-in Customer Price List from 15-4-2007 onwards all you have to do is go to Inventory Info->Price List->Select the Item Group then enter the date Applicable From : 15-4-2007 and start entering your new prices. This will enable the new pricing after 15-4-2007.

Now to see the effect of this, lets go to the Voucher entry screen, and select the Sales Invoice, you will be able to see a new option called Price Level, in this price level you can choose Walk-In Customer, if the billing is for the Walk-In Customer. The rates are automatically fetch based on your Invoice Date. If your Invoice Date is 1-4-2007 or 5-4-2007 then the pricelist will pickup the rate as per the initial configuration, as shown below

 

Similarly you can set the price levels for the other Price Lists as well, is this a simple process which every business will dream of?

Once the Price List is select then you will be able to change the Rate. In an ideal business case the owner / manager sets the price list for various price levels, so the entry operators are not doing any mistake , sometimes it so happens that after some negotitions your operator wants to change the price then the will also allow you to do so. This will enable a smooth billing process without much hurdles, we can use the price list as an indication of the current schemes , and allows you to change as per your business needs.
