4 How can I configure the SMS Feature in Tally.ERP 9

SMS configuration can be done in three simple and easy steps

5 How does this SMS work?

SMS works on the concept of Natural Language which is plain simple English. Sales for July The system will in turn query with the connected company, extract the information and send a replyto your mobile. It is essential to add the requestor’s mobile number in “My Profiles” in the ControlCentre before connecting the company to Tally.NET. . 6 Can you please provide me the service number to which the query needs to be sent?

At present you can send in your queries to 5667750. The new number will be intimated to you indue course of time. 

7 Can you please provide me the list of service providers which support the SMS feature of Tally.ERP 9?

At present the following service providers support SMS queries from Tally.ERP 9:

· Vodaphone

8 Is SMS a paid service?

Yes, SMS is a paid service. The user will be charged for each SMS sent from the user’s mobile.

Yes, the SMS feature is available 24/7 to the user provided the required company is connected toTally.NET. 

11 How many Mobile users can receive the SMS reply at a time to the query raised?

It can be any number of users who have raised the query. 

12 Can I query for information with two different Companies which have authorized me?

Yes, you can query information from different companies which have authorized you. . 

13 Do I require high end mobile phones like 3G phones or internet on my mobile?

No, you don’t require any specialized mobile phone; you can use a simple phone which has the SMScapability in it. 

14 Do I have to pay additional charges to the service provider for enabling Tally SMS service and are the roaming charges applicable?

No, you don’t have to pay any additional charges to activate this service. Other chargesas per theservice provider. 

15 Can I send an SMS from Tally to all the Sundry Debtors reminding them about their outstanding amount on a periodic basis?

No, you cannot send an SMS from Tally.ERP 9 at present. This feature will be made in the nearfuture. 

16 Can my parties check their outstanding amount?

No, Not presently. 

17 Can any number of mobiles send SMS? If limited then how many?

No limits. Any number of mobile phones can be registered in Tally.ERP 9 for the SMS facility.

Efficent Inventory Management in Tally ERP

Real Time Integration with Costing

The Inventory system in Tally.ERP 9 is completely integrated with all other functions and is real-time. When you enter a Purchase bill, your stocks get updated. When you sell, stocks reduce. When you enter a production voucher, the produced items immediately start showing in stock. Valuation of stocks is done automatically. A unique feature of Tally.ERP 9 allows viewing the value of your stock items using all known valuation methods. Tally.ERP 9 enables a user to apportion additional costs of purchase or production and arrive at the exact landed cost of Inventories.

To put it simply, whenever a user is entering a Purchase bill or a Production voucher, he can add additional expenses in these vouchers which are apportioned between the various Stock items. Thus, the user gets the exact landed cost of each item.

Count Stock while Selling & Billing 

While a set of your users are executing Sales or Purchase transactions, you can still perform a physical stock take of your Inventory. As mentioned above, everything in Tally.ERP 9 is real-time. By nature, Tally.ERP 9 keeps the stock count, valuation & costing stock online. The “Stock query” facility allows the user to see the stock related information while Selling and Billing. Tally.ERP 9 also gives the ‘Asset Value’ (Stock in hand) & the ‘Market Value’ or the ‘Stock Disposable Value’ – even while billing. This could be helpful in many situations like understanding the Asset value Vs. Market value of finished goods; thereby making these reports very helpful for MIS purpose and in addition dealing with banks for various finance needs!

Average Cost Valuation Method

Tally.ERP 9 allows user to use the multiple method of valuation like LIFO, FIFO or Average Cost Valuation side-by side. This Average Cost Valuation method available in Tally.ERP 9 enables businesses to see the valuation of closing stock depending upon the average cost of the stock item which is calculated using the formula – Total Inward value / Total Inward Quantity.

Track your Inventory across multiple stores

Tally.ERP 9 allows you to maintain multiple stores locations and godowns and track stocks in each of these, till the last rack or bin.

Ageing of Stock 

In Tally.ERP 9, the Stock Ageing report helps businessmen to keep track of the amount of time merchandise has been in stock. Based on this information he can decide when and how to liquidate the stock. Using this facility a businessman can age stock either on purchase date or date of manufacture.

Re-order in Time 

Tally.ERP 9 allows a user to define Re-order levels for each stock item based on their actual consumption over a period or based upon a pre-defined quantity. . Minimum Order Quantity (MOQ) can also be fixed for each stock item. . The Re-order report gives details of each item – its balance, re-order level, shortfall and how much should be ordered. This report helps a businessman to maintain optimum levels of stock.

Categorise Stock – Stock items created under Stock Groups can be tagged to Stock Categories also. In other words, Tally.ERP 9 allows grouping of Stock Items in two different, parallel trees – enabling viewing of these items from two different dimensions.. For example, an Electronics showroom dealing in TVs, DVD players, Mobiles etc.. of different brands can have its stocks maintained in Tally.ERP 9 thus :

a) Sony LCD 40” – under Stock group “TVs” and under Category “Sony”

b) Nokia 2310 – under Stock group “Mobiles” and under Category “Nokia”

Now, if the owner wants to view stocks based on type of products, then he can use the Group “tree”  If he wants to view based on Brand, then he can use the Category report. Therefore, he gets both dimensions to his Inventory.

Flexi UoM –

Flexible Unit of Measurement –

a) Users can define their own units of measurement

b)Complex, compound units can be created in a simple manner e.g. 1 Gross of 12 Dozens of 12 pcs

c) Alternate units can be created for stock items – e.g. Cotton may be purchased in Bales, but sold in kgs. Both units can be maintained and used d) Rate of an item can be entered based upon any unit – main or alternate

e) Flexible entry - Tally.ERP 9 allows the handling of unique situations. . E.g. Your standard compounded UoM states 100 Kg of Cotton is 1 Bag and you are in the process of shipping 50 bags. Your supervisor says the ‘water content’ in cotton is higher than the regular levels – and warns that if you ship 100 Kg per bag, it will be only 98 Kg by the time it reaches the Customer. Therefore, you need to ship 102 kgs per bag. Tally.ERP 9 gives you the flexibility of shipping 102 Kg per bag without changing the master UoM. For this transaction, 102 Kg per bag will be the Flexi UoM.

Unlimited Warehouses

Tally.ERP 9 allows to maintain the stock in various locations such as Godowns or Warehouses or Bins etc. With Tally.ERP 9 you can create unlimited levels of locations.

Track Batches 

Considering the specific requirement of food\pharmaceutical industry, Tally.ERP 9 also supports tracking inventory thru batches – along with their Manufacturing and Expiry Dates . Batchwise reports are also available.

Not presently. The current version of Tally.ERP 9 provides you the Cost Estimation report using BoM defined in Item Master. Future versions of Tally.ERP 9 will be more comprehensive.

6. How do I account for scrap?

There are two scenarios related to Scrap

 a) When the same Stock item is scrapped – Create a Godown “Scrap” and using a Godown Transfer voucher, transfer the scrapped quantity from its godown to the “Scrap” godown. When the scrap is sold off or discarded, simply consume it, using the Sales voucher (in case it is sold) or the Stock Journal voucher (in case it is discarded)

b) When a new item is created (as scrap) while manufacturing a product – this new item can be named “Scrap” and then treated in the same manner as above.

Why should I Subscribe for Tally.NET?

Tally.NET Subscription / Renewal 

1. A message Tally.NET subscription valid till 31-Mar-2010 is displayed in the license information pane in the product. What does it signify?

A: It indicates that your Tally.net subscription is going to get expired on 31/03/2010. You need to renew the Tally.NET subscription by paying nominal charges.

2. Why should I subscribe?

A: The subscription includes product and statutory upgrades and updates for a year. Any major version or changes within the subscription period will be available and you will get a price protection for a period. Tally.NET provides other services such as Unlimited Data Synchronization, Unlimited Remote Access, etc. The Remote Edit and SMS feature would also available shortly. 

3. What are the features covered under Tally.NET Subscription?

A: Latest updates on product/statutory (keep you updated with the amended  taxation laws, reports, returns)

  • Unlimited Remote Access
  • Unlimited Data synchronization via Tally.NET servers

5. What happens if I do not renew my Tally.NET?

A: Your Tally.ERP 9 license will continue to work. However, the latest product / statutory upgrades and updates will not be available.  Tally.NET is a bouquet of services and you will NOT get access to the same, which includes changes based on new technologies, government rules and laws, remote access and edit.   

6. What is the cost of Tally.Net subscription? 

A: For Single user Rs.2,700/- For Multi user Rs.8,100/- (Tally.NET subscription is inclusive of taxes.) 

7. I have got multiple serial numbers registered under one company. Will I get discount in this case?

A: The product and statutory upgrades are a part of Tally.NET Subscription. There is no discount available on the subscription amount and no such offer is available.  

9. Partners are charging more than the price announced for Tally.NET subscription renewals? 

A: The Tally.NET subscription charges are Rs.2700/- for Single User and Rs.8100/- for Multi User (inclusive of taxes). The Partner might charge you on the other services which you may avail from them like onsite visit, data migration, for which they are spending time for processing. 

10. I am having more licenses in my Group Company. Should I subscribe for all the licenses?

11. I am currently using Tally 9 and if I upgrade to Tally.ERP 9 after 1st April 2010, should I pay Tally.NET Subscription separately apart from the upgrade charges? 

A: No, the upgrade is inclusive of Tally.NET subscription for one year. 

12. Can I subscribe Tally.NET Subscription for a number of years? 

A: No, currently it is renewable on yearly basis. As and when we come out with such an offer it will be intimated to our registered users. 

13. We are only the users of single user of Tally and we are not using Remote access facilities. Recently we have spent huge amount on customization for additional requirements.  Hence consider our case and reduce the Net subscription charges. 

A: The customization was done based on your business specific requirement. Tally.NET provides you a bunch of services like product and statutory updates, remote access, unlimited data synchronization, remote edit (upcoming) and many more during the period of subscription. The subscription charges paid is to renew the Tally.NET subscription for a year.   

14. What happens if we do not get the Tally.NET subscription renewed? 

A: Your Tally.ERP 9 will continue to work, but you will not get access to the new technologies hassle free, and certain services which cost us to maintain and provide will not be available. 

15. If I subscribe to Tally.NET, do I get free onsite support?

A: No, Tally.NET subscription is for a bunch of features like product and stat updates, remote access, unlimited data synchronization, remote edit (upcoming) and many more during the period of subscription. The onsite support is service rendered by service partners based on your business needs and maintenance which is on additional charges. 

16. What is Tally.NET subscription cost for Auditor Edition? 

A: The Tally.NET Subscription cost for Auditors’ Edition is Rs.4050/-, which is half of the Multi user cost. 

17. If Tally.ERP 9 Auditors’ Edition is having additional sites for the same serial number, should we renew Tally.NET Subscription for all additional sites? 

A: Yes, the Tally.NET Subscription should be renewed for all sites / branches at once, by giving the full amount in online or renewal through product.

1. Manage business from home – you do not have to be present in your office any more to know the latest update on your business. You can plan your day in advance by checking status of
payables and receivable, pending orders, stock status etc in the morning, before you reach
office. Delegate and plan work better.

Chartered accountant and his/her article clerks can access your business data and provide tax computation, compliance and audit advices without having to visit your office. This can help you with continuous compliance.

5. A Tally expert can resolve your support queries remotely– solution to support issues do not have to wait any more. Provide one time access to a Tally expert or a solution provider to fix your product, customisation or any other support issues instantaneously. This can save your business the delay in problem resolution.

6. Word of advice from a friend or a relative – allow business friends or relatives to access your business data when ever you wish to seek their valuable advice. You can provide continuous access or one time access depending on your need.

7. Maintain personal account at home which can also be accessed from your office.

The Tally.NET ID is the user’s Identity, Tally.NET servers Authenticate the user as being a valid user; you decide what the user is authorised to do.

Remote access is safe and secure

When working with 'remote' data, the system allows all information manipulation to happen on the original machine, and only uses the final results to 'display' (or allow changes) on the remote machine. So, no data - EVER - resides on the remote machine. It simply gets the information it needs, and once you logout (or exit Tally.ERP 9), the connection is just broken and your data remains SECURE on the original machine. In fact, no matter how the connection breaks, your data NEVER moves to another machine, even temporarily.

Data Security:

The Remote connectivity is initiated with a secured Handshake between two computers using Tally.NET environment.

  • Customer can allow / disallow access to the Company Data for remote users at any point of time.
  • Data resides on the Customer’s Computer only.
  • Encrypted Data is transferred between two computers on request.
  • Data will only be transferred through the Tally.NET server and not reside
  • The customer can assign Security controls to remote users depending upon what access to be given.
  • For the Remote user(s) Back up / Restore options will not be available in the remote location.

The remote access is built to be safer because of the following:

Authentication

As these identities are maintained centrally, they are guaranteed to be unique for all users of Tally.NET. These users can also be granted access to any company which is connected to Tally.NET (in any license on Tally.ERP 9) across the world and – whether these companies are created by you or by a business associate.

When such a user attempts to login to a particular company, the authentication of his identity is performed via the Internet – remotely.

Authorisation

Authorisation is NOT performed by Tally.NET. This is under your control: you decide if someone has access, you decide what he has access to. As stated before, you would probably want to restrict what each remote user will be allowed to do on your data – this is done as you would with a 'normal' user (see Security & Access Control).

Requirements for Remote Connectivity:

At your office:

  • Internet connection
  • Tally.ERP 9 License with the Tally.NET subscription
  • Authorise remote users for a Company that has to be accessed remotely
  • Load & Connect the Company to Tally.NET for remote access


Note: For the company to be accessed by the Remote User the computer has to be switched on, and Tally.ERP 9 with company loaded.


At the Remote Location:

  • Internet connection
  • Tally.ERP 9 (Licensed/Education)
  • A valid remote User ID and Password
     


Availability of Customisation

During Remote Access, the additional customisations running at your office will also be available to the Remote User at the remote location.

Experience remains the same either working locally on your computer or from a remote location. It is recommended to use broadband connections to enjoy the best remote experience.

Tally.NET is an enabling environment which works behind the scenes to facilitate various Internet based services in Tally.ERP 9. Each Tally.ERP 9 is enabled for Tally.NET Services by default. Tally.NET provides the following services/capabilities in Tally.ERP 9:

Security Features In Tally ERP

Tally Solutions understand the importance of your business data – and the need to keep it secure. To ensure that ALL aspects of this are under your control, Tally.ERP 9 offers 360 degree security features and technology capabilities.

1. Database Security

If you choose to use a feature called Tally Vault, the entire database in encrypted - this makes your data highly secure. In case anyone gets hold of the database files, the data cannot be accessed – we use industry standard controls to achieve this.

2. Role based Security

With multiple users in your organisation, there is often the need to restrict some users from some actions and to see some reports. Tally.ERP 9 allows you to manage users in groups (based on their roles) and assign detailed 'allow' and 'deny' rights.

3. Security to prevent back dated entries

Even a small change in any earlier entered data or a back dated entry / alteration can have a cascading effect on all your reports. With Tally.ERP 9 you can prevent any back dated entries to your company data. This also helps in preventing any mismatch in case the data is already audited.

4. Audit Report

In order to provide an additional layer of security, you can enable the audit feature in Tally.ERP 9. The audit report display which voucher is altered by which user and you have the rights to accept / deny the alteration. This helps in maintaining a proper control on the modification process.

5. Data Transmission Security

Data exchange in Tally.ERP 9 (for remote access and synchronization) is secured by way of encryption of data. Tally.ERP 9 also allows you to secure the data exchange with external applications (say web services) by using the https protocol to ensure the data security.
 

6. No data stored on Tally.NET Servers

When using the remote access capability all data transmission happen via Tally.NET servers but there is no data which is stored on the servers - ever. Tally.NET acts like a forwarder, not a storage server. So you be can rest assured that your data resides only on your computers.

7. No data stored on the remote systems

When accessing your company data from another system remotely, Tally.ERP 9 works only with the minimum level of information needed and this too only in system memory (RAM). The data is never stored on the hard disk of the remote machine. This feature gives you the comfort of being able to access your data from anywhere and be sure that no data fragments are left around.

8. Tally.NET and Remote Users

All remote users trying to login into any company have to pass through the strict authentication mechanism at the Tally.NET servers. The basic advantage is that remote users can manage their passwords on their own. Since the passwords are not stored on your systems, you have additional comfort that no one can get hold of them and access your systems remotely.

9. Data Security

In Tally.ERP 9 there is no mechanism to directly access the database. The data can only be accessed through the application (via industry standard interfaces) thus preventing any inappropriate modification / alteration of the data. All data import, export and application interface are via API calls, with the necessary layers for data validation no technically incorrect data can ever get into the database.

Roadmap of Technology & Capability Enhancements

Multi-session


Support for multiple application windows, which can even be launched by clicking on a mail link or a 'shortcut., Each of these are simultaneous 'windows' into different areas of your business processes & reports. Dynamic data refresh and the display of different views when resizing - for e.g. smaller windows displaying a more consolidated view of data, will improve organizational management and productivity.

Multi-threaded
A 'thread' is a specific task that is being performed by the microprocessor. Enhanced capabilities will be enabled such that each application window can perform more tasks simultaneously instead of linearly, including processing messages from the server. Multi-core processors, even on the desktop, are now common. We will take full advantage of these as well.

Multi Stack Architecture for Scale-up & Scale-down Deployments
To deliver the capabilities described above, and the ones that follow, Tally.ERP 9 will become 'componentised' – consisting of several layers of programs - often referred to as 'n-tier architecture'.

These software components are horizontally scalable, meaning that you can add one more computer to increase the computing power needed for a layer. In the same way, you can remove systems as needed, or collapse them into a single system - all of them even on a notebook, if required.

High Transaction Capacity with Low Latency & Management
Let us say that you start generating a report that needs to be extracted from a few thousand vouchers. This process is run in a 'session', which is isolated from all other users. Even if other users delete or modify any of the vouchers needed for the report while the report is being compiled, there is no impact on this session and you will get to see the report as if these other users did not exist.

In the same way, the user performing the edit will also be isolated. After the edit, he can open the voucher and see it with the changes he made, perhaps even delete it.

The architecture described above will in itself deliver substantial performance and transaction handling capacity. To push performance further in those cases when the storage media (typically the hard disk) is busy with other operations, additional capabilities will store these transactions 'temporarily' in a 'Q' for later write, while the user is free to continue his work (these transactions are protected against power failures and so on).

Payment Engine for Debit & Credit Cards
The facility for online payments using a variety of payment mechanisms (NEFT, online banking, credit cards), as well as receive payments (Debit / Credit Cards, NEFT etc) will be available.

Functional Enhancements

Online Banking and Reconciliation
Collaborating with Banks who wish to facilitate their customers with this capability, we will provide Online Banking - including Payment Instructions, Standing Instructions, DD, NEFT,RTGS Transfers, Balance Queries, Instruction Status, Automated or Semi-Automated Bank Reconciliation.

Implementing Price List in Tally ERP 9.0

Hi Everybody!

In business practices we do implement various price list for different category of buyers, for instance we might be supplying the same product in bulk to some of our wholesale dealers, where the prices are attractive for him, some time we might have a walk in customer for whom our prices will be similar to the MRP or he market rate for that product. These kind of situations are tricky and we need to have the price control, we cannot explain this to our front office operators, assume that you have 100s of time each item has a different scheme..what will you do, we cannot expect the front office sales person to remember all these.

Tally understands Indian business mentality and process , Tally is a software made by business for a business man, the first Tally will think of before implementing anything is , the comfort level of the common business man on adapting the feature. Now lets dig into how we can implement price level in Tally ERP.

Step 1:

We need to activate the Price Level option in Tally . To do this you have to select the Company Features this option can also be access by pressing F11 key in the Gateway of Tally. Once you do this operation, you will be able to see a screen as shown below.

 

Once this option is selected you will be able to see the Inventory Configuration screen as shown below, you need to choose the Use Multiple Price Levels? option 

 

Note : I have shown only the need to know portion of the screen, the Actual Inventory Features screen is much bigger than this with lot of other options.

Once you activate this option as Yes, you will get a new screen where you can enter the name of the price levels like Bulk Customer, Walk-in customer etc., these names are of your choice and what make sense to your operator to identify the pricing.

If you want to create more Price Level Names, you can come back to this screen at a later stage as well. To get the Price Level menu activated, you need to have atleast one Price Level name entered.

After entering the price levels now we need to set the pricing information for Price List based on the Stock Item Group. To acheive this you need to go to the Inventory Info screen, in this screen you will be able to see the Price List menu as shown below.

Once the Price List option is selected it will show you the list of the Stock Item Groups that you have created in the system, as shown below, you can choose the Group of your choice for which you want to set the Price List.

 

In my test case, I am going to select LAPTOP HARD DISK, in your case you can choose the Item Group of your choice or All Items options as well. Once I select the Stock Item Group, I will get the option to create the Price List for particular Price level. Now if you want to create a New Price Level Name, you can use the ALT + C option to create the name of the Price List, it will give you a screen as shown below.

You can create as many Price Levels as you want, it doesnt affect the performance or any other areas of the system. Once you have the required price list selected, now you can set the values for the individual item(s). The best part of the Price List is you can select the date from which the Price List will be applicable and you can also mentione from some other date onwards the prices will be different.

For Instance : you want to sell LAPTOP 160 GB SAMSUNG if someone is buying one quantity then rate should be 5000/- but if the user buys 2 nos then the price will be 4900/- each and if the user is buying more than 2 and less than 4 then the price will be 4500/-. See the following screen shot which will give you an idea how this process is set in the Price List

Now that you have configured this price list as of 1-4-2007 so till the time you configure the next price list for the Walk-In customer the rates are assumed as per the current configuration. If you want to set a different price list for the Walk-in Customer Price List from 15-4-2007 onwards all you have to do is go to Inventory Info->Price List->Select the Item Group then enter the date Applicable From : 15-4-2007 and start entering your new prices. This will enable the new pricing after 15-4-2007.

Now to see the effect of this, lets go to the Voucher entry screen, and select the Sales Invoice, you will be able to see a new option called Price Level, in this price level you can choose Walk-In Customer, if the billing is for the Walk-In Customer. The rates are automatically fetch based on your Invoice Date. If your Invoice Date is 1-4-2007 or 5-4-2007 then the pricelist will pickup the rate as per the initial configuration, as shown below

 

Similarly you can set the price levels for the other Price Lists as well, is this a simple process which every business will dream of?

Once the Price List is select then you will be able to change the Rate. In an ideal business case the owner / manager sets the price list for various price levels, so the entry operators are not doing any mistake , sometimes it so happens that after some negotitions your operator wants to change the price then the will also allow you to do so. This will enable a smooth billing process without much hurdles, we can use the price list as an indication of the current schemes , and allows you to change as per your business needs.
